Leaders Islamic Academy holds personal information about students, guardians and staff in order to run the school. This policy explains what we collect, why we collect it, and how we protect it.

Information we collect

• Admission applications — applicant and guardian names, contact details, date of birth, previous school, and supporting documents.
• Student records — admission number, class and academic history, assessment results, behaviour records and attendance.
• Payment records — the payment evidence you upload, amounts, references and the receipts we issue.
• Staff records — employment details, qualifications and teaching assignments.
• Website use — a session cookie required for login, and the IP address recorded with form submissions to prevent abuse.

How we use it

We use this information only to admit and educate students, to record and report academic progress, to administer school fees and issue receipts, to communicate with guardians, and to meet our legal and regulatory obligations. We do not sell personal information, and we do not use it for advertising.

How we protect it

• Access is restricted by role. Students see only their own records; teachers see only the classes and subjects assigned to them.
• Passwords are stored only as one-way hashes and are never readable by staff, including administrators.
• Admission documents, payment evidence and receipts are stored outside the public web directory and are released only through an authorised, logged download.
• Sensitive administrative actions — admission decisions, result approval and publication, payment approval — are recorded in an audit trail.

Retention

Academic records are retained for as long as the school is required to provide transcripts and confirmations of study. Unsuccessful admission applications and their documents are retained only for the admission cycle in which they were submitted, plus one further session.

Your rights

Guardians may ask to see the information we hold about their child, to have inaccurate information corrected, and to ask how it is being used. Please make such requests in writing to the school office.
